Suggested memo outline: State the recipient, subject and decision requested. Describe a specific problem, such as documents reaching the wrong desk or missing delivery evidence. Recommend a unique reference number, dated receipt, responsible desk, status tracking and dispatch acknowledgement. Define who records, forwards, reviews and closes each item. Include controlled access and an authorized correction history for electronic records.

Propose a small pilot with a named responsible role, review date and measures such as unassigned items or missing acknowledgements. Explain the staffing or training needed. Finish by requesting approval of the proposed process. A memo should enable a decision; it should not merely list definitions of registration and dispatch.

Suggested approach: Identify the production and sales cycle before proposing repayment dates. Estimate cash inflows, operating costs and household withdrawals using evidence. Test a weaker harvest or delayed sales scenario. Consider repayment capacity, suitable purpose, relevant security and the bank’s applicable credit policy. Plan monitoring around production milestones and cash collection.

Example: income received mainly after harvest may make an identical monthly instalment unsuitable unless there are other reliable monthly inflows. Explain the mismatch and suggest assessing a repayment structure aligned with verified cash flow, subject to policy and approval. Collateral alone does not demonstrate an ability to repay.
